Representatives Best Practices & Fee Structure
Whether this is your first Michigan College Fair or your 100th, we have compiled a list of best practices from fellow representatives to make each fair a success! If you have any specific questions please email the Michigan College Fair Committee.
Before the fair:
Plan Ahead:
If you are not the person responsible for registering, please coordinate with your institution or organization for important details and logistical information.

Download the Strive Scan app and unlock your fair date
Connect with those who registered for your organization for the code
You can also connect your CRM beforehand to have your leads automatically added or downloaded after the fair concluded

Plan ahead to bring your personal water bottle. We encourage our host sites to provide this, however, due to budget constraints some host sites may not be able to offer refreshments.
During the fair:
Logistics:
Arrive early to ensure your table is set up before the fair begins. Doors will open to attendees at the indicated start time on the Michigan College Fairs Website
Dress appropriately to represent your school or organization.
Promotional giveaways, raffles, or drawings are not permitted. Only provide literature relevant to your institution or organization to attendees.
Host Sites:
Please be respectful of our host site and other attendees by:
Interacting with students only at your designated table, there is enough time for students to interact with multiple institutions and organizations.
Avoid standing beside or in front of your table when speaking with prospective students.
Keeping the aisles clear of boxes and materials. If you need additional space once you arrive connect with your host site.
Maintaining a reasonable volume for any audio-visual equipment to avoid interfering with nearby tables.
Being mindful of time constraints; host sites may need to quickly flip spaces at the fair's end, requiring a clean environment.
Remaining for the entire duration of the fair.
Showing courtesy to other representatives and fair attendees. We are all in this together!
Keep an eye on your line to prevent congestion and to be respectful of attendees and host site time. Use Strive Scan to collect attendee’s information and connect with them more in-depth after the fair. Connect with your host site if you need help with large groups of attendees congregating near your table.

Fee Structure for College Fair Representatives/Exhibitors
$25 per fair for StriveScan fee and revenue plus credit card surcharge (Credit card fees are 2.9% of the amount charged + $0.30 per transaction)
$100 additional fee for non-MACAC/MACRAO members
$75 additional fee for Non-school affiliated persons or organizations
Career/Small Businesses
Trades
Community based Organizations (not community colleges)
Greek organizations
Public Works Organizations
Military (Army, Navy, Air Force, Marines, Space Force, Coast Guard, Reserves)
Must be a member by June 1 to avoid this fee, no additions will be made mid cycle
$650 for the Detroit College Fair
Payment will be collected through a separate link directly from Wayne State University, please keep an eye out on your email
June 1 - September 1 is the period of representative registrations
Please register once for all the fairs your representatives are planning to attend.
Spring Fair registration will remain open until February 1
Please contact the Michigan College Fair Committee if you are unsure if you registered for fairs before attempting to register again
All fair registrants (representatives/exhibitors) will go through this registration process. Host sites will be provided this link to send out to any representative not communicated with by the committee
Community Colleges hosting a college fair will not be subject to the $25 fair fee for hosting a table at their own fair
Rescheduling is always preferred before canceling. Refer to Refund Policy if you cannot attend rescheduled date
Day of Registrations: non-MACAC/MACRAO member $100 fee (if applicable), $40 charge and $10 inconvenience fee plus credit card surcharge (Credit card fees are 2.9% of the amount charged + $0.30 per transaction)
Option to either pay at fair or invoiced after fair for attendance
Refund Policy
All refunds will be at the discretion of the Michigan College Fair Committee and StriveScan, and subject to a refund processing fee if approved
No refunds will be available if unable to attend a rescheduled fair
