Requirements for sanctioned fairs

Guidelines

General College Fair Request Guidelines

  • Please be mindful of religious holidays

  • Schools/host sites can request only one fair per academic year (Fall or Spring)

  • Weekend fair dates are discouraged

  • Host sites must be MACAC or MACRAO member institutions

  • Fair coordinators will be required to attend Host Site orientation in Fall or Spring, depending on when your fair is scheduled, to share best practices with fair coordinators which will also include an overview of StriveScan

  • Request deadline for Fall and Spring fairs is May 1

Michigan Regional Fairs

  • Hosted by college/university/community college. Regional fairs may also be hosted by college access networks

  • Host venue will handle all logistics, including working with local community and high schools to invite students into the fair 

  • If regional fairs happen within the same day, focus for day fairs will be high schools bringing students to the fair, while evening fairs are focused on parents and families with students attending

    • Every effort will be made to not have regional fairs on the same day

    • These fairs will be open to Freshman and Transfer students in the direct region

  • These programs are to be no more than 90 minutes to 2 hours in length

    • Community colleges with multiple locations in a single county are limited to one fair in the college fair academic calendar, and are encouraged to rotate locations each year

  • Invitations to community and students should go out to students/schools within a 1-2 hour drive to campuses in each direction

  • Limit to one college fair at the host site per academic year

  • Unfair advantage is not to be given to host college/university

    • If providing bags for students to collect materials, the bag should be empty and students must visit table to gather materials

  • Michigan-based MACAC/MACRAO member institutions should not be excluded

  • Light refreshments/meals are recommended for representatives attending the fair

  • All sanctioning decisions will be at the discretion of the Michigan College Fair Committee

  • All fairs will utilize StriveScan

Michigan High School and Career Center College Fairs

  • A program that is planned, executed, and promoted by high schools and career/tech centers

  • Highly recommended that 2-3 high schools/career/tech centers work together to host joint college fairs within their district or close community

    • Partnering schools will not host duplicate programs within the academic year

    • Bussing in students from other schools must be handled logistically with the host site based on space availability

  • Limit to one college fair at the host site per academic year

  • These fairs will be 90 minutes to 2 hours in length

  • Michigan based MACAC/MACRAO member institutions should not be excluded

  • Light refreshments/meals are recommended for representatives attending the fair

  • All sanctioning decisions will be at the discretion of the Michigan College Fair Committee

  • All fairs will utilize StriveScan

NACAC College Fairs

  • Handled by subcommittee within Michigan College Fair Committee

Specially Sanctioned Fairs

  • The Detroit College Fair will be on the calendar annually and will be worked separately with the committee to accommodate a fair length and date, due to transportation incorporation with the fair. A separate fee is incurred for the Metro Detroit College Fair and collected at time of registration

  • Detroit Regional Dollars for Scholars will be on the calendar annually and will be worked separately with the committee to accommodate a fair length and date

Date/Time Changes and Cancellations

  • All date and time changes must go through the committee

  • Cancellations of fairs must go through the committee

    • If inclement weather is due in the area, representatives are encouraged to monitor the school closings in that area

  • Communication of date/time change or cancellation will come from the committee to ensure that all representatives/exhibitors are notified

    • Every effort will taken to notify representatives

  • Host sites are responsible for communicating to students, families and attendees of date/time change or cancellations

  • Rescheduling will always be a priority if the initial date does not happen as scheduled. The committee will work with the host sites to determine a new date to maximize the participation of vendors at the fair. If you are unable to attend the rescheduled fair, no refund will be available 

Host Site Facility Guidelines

  • Host sites must facilitate their student’s registration with a StriveScan profile and QR code to enter the fair

  • Host sites must be able to accommodate all representatives (including restroom facilities, adequate parking, and all accessibility needs)

  • 6-8 foot tables are preferred with 1-2 chairs for the representatives attending

  • Host sites will have up to date emergency and rapid response plans for evacuation, fire, extreme weather, lock down and active shooter

  • Provide College Fair Survey QR code to each representative for post fair evaluation
